How to use the AI citation tracker spreadsheet
Use the same prompt set on a repeatable schedule. That makes each new check comparable with the last one.
Plan the questions
Add the questions buyers ask before they discover, compare or choose a business like yours. Give every question a stable Prompt ID.
Run each AI check
Ask the same question in the AI services you want to monitor. Record the service, model, market and date so later comparisons stay valid.
Save the evidence
Mark the answer cited, mentioned, absent or error. Paste your cited URL, winning source, competitor and shareable answer link when available.
Review what changed
Use the dashboard to spot gains, losses and engine gaps. Turn absent prompts and unlinked mentions into specific page or source actions.
What one tracked answer looks like
Suppose you monitor the question “What is the best AI citation tracking plugin for WordPress?” in ChatGPT.
If the answer links to your feature page, record Cited, the citation position and your winning URL. If the answer names your brand without linking, record Mentioned. If another company or outside source wins and your brand never appears, record Absent and save the winning source.
Repeat that check next week with the same prompt, service and market. The dashboard can now show whether the result improved, slipped or stayed stable.
What the GEO monitoring dashboard calculates
Citation rate
Cited checks ÷ valid checks
The percentage of completed answers that link to a page on your site.
Brand presence
Cited + mentioned ÷ valid checks
How often your brand appears, including answers that name you without linking.
Absent rate
Absent checks ÷ valid checks
The share of monitored answers where your brand and owned URLs do not appear.
Average citation position
Sum of positions ÷ cited checks
Your average order among the sources shown when an AI answer cites you.
Weekly trend
Checks, citations and mentions by week
Shows natural gains and losses without hiding the size of the measured prompt set.
AI service comparison
Results grouped by engine
Reveals whether one service cites you consistently while another leaves you out.
How to build a useful AI citation monitoring routine
Start with prompts tied to a business decision
Include discovery questions, comparisons, use cases, objections and purchase questions. A prompt such as “best accounting software” measures a different decision from “accounting software for a five-person construction company.” Track both only when both represent customers you want.
Keep the denominator stable
A citation rate is comparable only when the prompt, AI service and market coverage are comparable. Adding twenty easy branded prompts can raise the percentage without improving your visibility for new customers. Keep the core set stable and label experiments separately.
Save the source that won
When you are absent, the most useful clue is often the page the answer trusted instead. Record the winning domain and URL, then decide whether to improve your target page, earn coverage from that source or monitor the result before acting.
Track model and market changes
Answers can differ by model, geography, mode and date. Record those fields so a changed result is not mistaken for a content win when the measurement conditions changed.
Start manually. Automate when the checks become the work.
The spreadsheet is a strong way to learn the workflow and monitor a focused question set. CiteTrack AI runs the same measurement loop inside WordPress when you need more prompts, saved answers, cited-source intelligence and follow-up tasks.

AI citation tracker spreadsheet FAQs
What is an AI citation tracker spreadsheet?
It is a structured workbook for recording whether AI answer engines cite your website, mention your brand or omit you for a repeatable set of prompts. This template adds a dashboard, engine comparison and prompt plan to the raw log.
What is GEO monitoring?
GEO monitoring measures how a brand, website and sources appear in generative-engine answers over time. It commonly tracks citations, mentions, recommendation position, sentiment, cited pages, competitors and the sources shaping the answer.
Which AI services can I track with this template?
The validation lists include ChatGPT, Perplexity, Gemini, Claude, Microsoft Copilot and Google AI Overviews, plus an Other option. You can edit or extend the list in Excel.
What counts as a citation versus a mention?
Record Cited when the answer links to a page on your site. Record Mentioned when it names your brand without linking to your site. Record Absent when neither your brand nor an owned URL appears.
How often should I check AI citations?
Weekly is useful for high-priority commercial prompts. Monthly is often enough for a larger supporting set. The important part is using the same prompt, service and market conditions when you compare results.
Can I use the citation tracker in Google Sheets?
Yes. Upload the XLSX to Google Drive and open it with Google Sheets. The core formulas, tables and fields use standard spreadsheet features, although chart styling may look slightly different.
Does the spreadsheet calculate AI share of voice?
It calculates your citation rate and brand-presence rate across the checks you log. A market share-of-voice study also needs a consistent competitor set and denominator, so use the competitor and winning-source fields when you build that analysis.
Is this an academic reference or bibliography tracker?
This template is for brand and website citations inside AI-generated answers. It is designed for SEO, AEO and GEO monitoring rather than managing academic references or citation styles.
How many prompts should I start with?
Start with 10 to 25 high-value questions across discovery, comparison and purchase intent. A small representative set that you can rerun consistently is more useful than hundreds of prompts checked once.
When should I move from a spreadsheet to automated tracking?
Automation becomes valuable when manual runs take hours, multiple people need the evidence, or you need recurring checks, source analysis, tasks and revenue attribution in one place. CiteTrack AI handles that workflow inside WordPress.
Turn the spreadsheet workflow into continuous WordPress monitoring.
Run your approved prompts, save answer evidence, track cited sources and move each visibility gap into a clear task with CiteTrack AI.
